Ms. Smith advised Dr. Donald Kirtland, Deputy Director — Continuous Quality Improvement will be presenting today's Briefing: Human Services Department Electronic Records Management David I.Hansen,City Manager Dannette R.Smith,Director Regina S.Hilliard,Acting Deputy City Manager Tuesday,May 24,2016 S fJ �.w Here is an Overview of the Past State of Affairs: Past State of Affairs -i • Continued growth of paper was outgrowing the ability to store records • Staff referred to the filing cabinets and boxes that weaved their way around the hallways of the 3432 HSD Building as"The Snake" • Calculated,based on staff survey,that the Financial Assistance Division (FAD)spent$2,719-$4,183 daily on eligibility workers searching for active and archived files • Deployment of a paperless environment was one of the strategic goals set in the Human Services Strategic Technology Workshop and the Strategic Technology Plan(August 2015) • Virginia Department of Social Services mandated implementation of ( 2 ) the Document Management Imaging System(DMIS)hardware and application statewide by September 2015 May 24, 2016 -3- CITY MANAGER'S BRIEFINGS ELECTRONIC RECORDS MANAGEMENT (Continued) Staff began calling the filing cabinets and boxes they had to weave their way around in the hallways of the building "The Snake": "The Snake" Filing Cabinets J. Dr. Kirtland advised COMIT was invaluable in Laying the Groundwork and introduced Barbara Craib, COMIT—Business Relationship Manager(BRM).
